How to obtain a visa to enter Poland?

Participants of RIDEF 2026 from some countries will need a visa.

FORMAL AND LEGAL REQUIREMENTS

General information about visas

Find out what conditions must be met and which documents are required to obtain a visa.

To obtain a type C visa (short-stay visa), which authorises foreigners to stay in the Schengen area, including Poland, for a period not exceeding 90 days, the following documents and conditions must be met:

  1. A passport valid for at least three months after the planned date of leaving the Schengen area or — in the case of several planned visits — after the date of the last departure.
  2. The passport must contain at least two blank pages intended for the visa
  3. The passport must not be older than 10 years.
  4. A completed and signed visa application form.
  5. A photograph meeting the visa requirements (similar to the one in the passport).
  6. Proof of payment of the visa fee (its amount depends on the country of application).
  7. Travel medical insurance, which:
    • provides a minimum coverage of at least EUR 30,000,
    • is valid throughout the entire Schengen area,
    • covers the entire planned period of stay or transit,
    • covers any expenses related to medical repatriation, urgent medical assistance, emergency hospital treatment or death.
  8. Supporting documents confirming the purpose of travel — in particular, an invitation and sufficient financial means to cover the costs of stay and possible transit

Visa Invitation and Embassy Appointment Procedure

Read how the RIDEF 2026 Organising Committee can support you in the visa application process.

1. Completing the RIDEF 2026 registration form and the visa section

During registration for RIDEF 2026, the participant fills in the visa section and provides all required information needed to prepare an individual invitation (including passport data, personal details, contact information, and country of origin).

2. Preparation and sending of the invitation by the RIDEF 2026 Organising Committee (CO)

Based on the submitted data, the Organising Committee prepares a set of visa documents, which includes:

  • an official personalised invitation,
  • letters confirming the organisation of the RIDEF 2026 event.

These documents are sent in PDF format:

  • directly to the participant, and
  • by email to the appropriate embassy,

so that the embassy is informed in advance that visa applications from that country may be submitted.

3. Sending original documents — only in exceptional cases

If a particular embassy requires original paper documents, the CO will send them — after consultation — either:

  • to the address of the national Freinet movement, or
  • to a designated participant representing the group.

Because international shipments, especially intercontinental ones, are very costly, such cases will be discussed individually with each movement and participant.

4. Participant submits the visa application

After receiving the documents, the participant must independently:

  1. complete the online visa application at: https://secure.e-konsulat.gov.pl/,
  2. book an appointment at the embassy responsible for their country,
  3. prepare all required documents for the appointment.

5. Responsibility of the CO ends here

Obtaining a visa depends solely on:

  • the date of the appointment assigned by the embassy,
  • the course of the interview,
  • and the consul’s decision.

At this point, the responsibility of the RIDEF 2026 Organising Committee ends.
